2026 Compliance Deadline Approaching

What's Changing in 2026?

From January 2026, all food businesses operating in the UK and EU will need to comply with new traceability requirements. These regulations mandate digital tracking of all food products from farm to fork, with significant penalties for non-compliance.

⚠️ Key Deadline

All food businesses must have compliant traceability systems in place by 1 January 2026. There will be no grace period.

Who Does This Apply To?

The regulations apply to:

  • Food producers — farms, growers, fisheries
  • Food processors — manufacturers, packagers, co-packers
  • Distributors — wholesalers, logistics companies
  • Retailers — supermarkets, restaurants, cafes, food service

Key Requirements

1. Digital Record Keeping

All traceability records must be kept digitally and be accessible within 24 hours of a request from food safety authorities. Paper records will no longer be acceptable.

2. Batch Tracking

Every batch of food must have a unique identifier and full journey documentation from origin to final sale. This includes supplier details, processing dates, storage conditions, and distribution chain.

3. One-Step-Back, One-Step-Forward

Businesses must be able to identify where products came from (suppliers) and where they went (customers) within 4 hours.

4. Rapid Recall Capability

In case of a food safety incident, you must be able to identify and recall all affected products within 24 hours.

Penalties for Non-Compliance

  • Fines up to £250,000 or 4% of annual turnover
  • Loss of food business operator status
  • Inability to supply to major retailers (most require compliance)
  • Criminal prosecution in serious cases

How to Prepare: 5-Step Compliance Plan

1

Audit Your Current System

Identify gaps in your existing traceability processes. Do you have digital records? Can you trace batches? How long does it take?

2

Choose a Compliant System

Select a digital traceability platform that meets 2026 requirements. Look for batch tracking, QR codes, and rapid recall features.

3

Train Your Team

Ensure all staff understand the new requirements and how to use your traceability system properly.

4

Test Your System

Run mock recalls to ensure you can trace products quickly. Aim to beat the 4-hour requirement.

5

Document Everything

Keep records of your compliance efforts, training sessions, and system tests. This demonstrates due diligence.
